Preparation is the key to a smooth, on-time closing. As your realtor, part of my role is to act as your project manager—making sure you have everything ready exactly when it’s needed.

Phase 1: Before You List the Property

These are the documents you should begin gathering immediately.

• Copy of the Property Deed

This legal document proves ownership. If you can’t locate it, the title company can retrieve a copy.

• Mortgage Statement

Your most recent loan statement helps calculate your estimated net proceeds from the sale.

• Property Survey

This is the map outlining your property boundaries. If you don’t have one—or if you’ve added a pool, fence, or extension—you may need a new survey.

• Seller’s Disclosure Notice

One of the most important documents in Texas.

This legally required form discloses any known property issues (past flooding, foundation concerns, roof leaks, etc.). Honesty here protects you legally and builds buyer trust.

• HOA Documents (If Applicable)

If your home is in an HOA community, you’ll need the resale package, which typically includes:

  • HOA bylaws

  • Rules and restrictions

  • Financial statements

  • Fees and assessments

Delays in obtaining HOA documents are one of the most common causes of closing setbacks.

• Receipts & Warranties for Improvements

New roof? HVAC replacement? Irrigation system?

Having receipts and transferable warranties strengthens buyer confidence and can justify your asking price.

Phase 2: Once You Accept an Offer

Congratulations! Now the title company and buyer’s lender step in and will require additional documentation.

• Executed Purchase Agreement

The fully signed contract outlining all agreed-upon terms.

• Personal Information

Full legal names, marital status, and identification details are required so the title company can verify there are no liens against the property.

• Mortgage Payoff Information

The title company will request an official payoff amount from your lender to ensure your loan is fully paid at closing.

Phase 3: At the Closing Table

Closing day is here—bring the following:

• Valid Photo ID

Driver’s license or passport.

• All Keys & Access Devices

  • House keys

  • Mailbox keys

  • Garage remotes

  • Alarm codes

• Bank Information for Wire Transfer

If receiving your proceeds via wire transfer, you’ll need your complete banking details.

Always verify wire instructions directly with the title company to prevent fraud.
